This page compares the smallest plans for a service business with one owner. It does not rank either product for every company.
The practical difference
FreshBooks organizes its entry plan around invoicing a limited number of clients. The current official pricing page lists Lite at five billable clients and Plus at 50; its 2026 pricing FAQ lists USD base prices of $23, $43, and $70 per month for Lite, Plus, and Premium. QuickBooks Simple Start lists one billable user and an accountant access allowance; the next Essentials tier allows three billable users. Those are different kinds of limits: FreshBooks' Lite limit is clients, while QuickBooks' entry limit is users.
For a solo consultant with four recurring clients, FreshBooks Lite may cover the client count if its features fit. A fifth client or a need for a feature reserved for a higher plan changes the math. For a two-person office that needs both people to enter bookkeeping data, QuickBooks Simple Start's single-user limit is an immediate constraint; compare Essentials or another provider instead of treating the promotional entry price as the team price.
Compare recurring price with the right billing period
| U.S. plan snapshot | Published base price | Annual amount / detail |
|---|---|---|
| FreshBooks Lite | $23/month | $248.40/year |
| FreshBooks Plus | $43/month | $464.40/year |
| QuickBooks Simple Start | $38/month | $456/year at 12 months |
| QuickBooks Essentials | $85/month | $1,020/year at 12 months |
FreshBooks' annual prices include its stated 10% yearly discount. QuickBooks' official pricing page showed a 50% offer for three months when checked; that temporary offer is excluded from the base comparison. Taxes and optional payment-processing fees are excluded. A one-year base-cost comparison gives Lite $207.60 less than Simple Start ($456 − $248.40), but that number says nothing about whether Lite has the accounting controls, integrations, or client capacity a business needs.
A fast decision test
- Count clients. FreshBooks says archived clients count toward the plan limit; deleting a client frees a slot while preserving accessible history. Confirm the current rule before relying on it.
- Count users. Include the owner, operations staff, and accountant separately. Accountant access may differ from a billable user seat.
- List invoice workflow needs. Check estimates, deposits, retainers, recurring invoices, reminders, payment types, and accounting reports in the current plan comparison.
- Cost the renewal. Use regular recurring prices, then add required seats, add-ons, and payment fees. Show promotions separately.
When neither is the right fit
If you have a very small client book and only need basic invoices, inspect free products. Zoho Books advertises a U.S. free plan available while financial-year revenue does not exceed $50,000 and annual document limits; check those before switching. If you need multiple currencies or project-cost features, compare Xero's relevant U.S. plan as a third candidate. Those are reasons to expand the shortlist, not proof that one vendor is universally better.
What this comparison does not establish
We reviewed official pricing and plan-limit pages. We did not create accounts, test workflows, measure support, or reconcile sample books in either product. Plan contents and offers can change; verify the live U.S. pages on decision day. Do not infer tax suitability from a software feature list. Ask your accountant which reports and access they need.
