Invoice payment terms tracker: a due-date worksheet

A payment-terms tracker should preserve what the customer agreed to and convert it into a follow-up date. It does not create terms or change a contract. Keep the signed agreement, purchase order, and issued invoice as the source for the due date; record your expected bank-available date separately.

The difference between a due date and an expected deposit date matters. A payment can be due on one date while processor or bank timing makes funds available later. Update the expected date from your own processor's terms and actual experience.

Example with two invoices

A client receives invoice A for $3,000 on October 1. The contract record says it is due October 31. The owner expects an ACH deposit on November 3 based on the provider's settlement details. A separate $1,200 invoice is due October 15 and was expected October 17 but has not cleared by October 22. The tracker should show A's recorded due date and expected cash date independently; invoice B should retain its real due date and move its forecast date after a client response.

Do not rewrite invoice B's terms because the expected receipt moved. The signed terms and operational forecast serve different purposes.

Turning the tracker into a weekly routine

  1. Import open invoice rows from the invoicing or accounting record.
  2. Confirm each due date against the issued invoice and agreed terms.
  3. Add a separate expected funds date for cash planning.
  4. Mark cleared amounts only after matching the bank deposit.
  5. Schedule a reminder using the chosen cadence and agreement.
  6. Record the client's reply, promise, dispute, or request for a corrected invoice.

This routine makes it easier to distinguish a billing problem, an approval delay, a dispute, and a payment that is simply in transit.

What “Net 30” means here

Payment shorthand can be ambiguous across businesses and contracts. Do not assume a phrase automatically means a particular number of days from a particular event. State the actual due date and the triggering event in the contract and on the invoice, and have counsel review terms if the definition or enforceability matters. This page does not define a universal legal rule.
